What to do when someone, for example, goes on vacation? In such a case, the duties of one of the users in the system can be taken over by someone else, in which case a new option, Substitutions, should be used. Substitutions in processes can be set only by the administrator of a given organization, who will find this function in the vertical menu.

Starting processes, or more precisely process instances, could be done by any member of the Organization. Generally this makes sense, but as practice has shown, not always. This is because there are situations in which we do not want this to happen.

The possibility to preview documents added to the process on a step-by-step basis was one of the most awaited features by users. Until now, only the main document, such as an invoice or a letter in the mailroom process, was visible in the interface, while the others could be viewed only after they were downloaded to a computer disk or phone.

We sometimes get questions from users that we either don’t know the answer to or can’t answer. In such cases, we direct this person to Admin. And here comes the hard part – because it happens that this user does not know who is the owner or administrator in the organization.

From now on, the Dew-X family of free plugins/extensions has expanded to include three new ones: Button, VAT and Gross, and Math Operation.

We have added functionality so that when you click the “Data” button, all the data will be displayed in an additional window that can be moved around the screen or enlarged to its full width and fill out the form at the same time.

Namespaces are entities that bind data, processes and documents, but do not have workflow mechanisms of their own

Some hyperlinks are very long and say nothing about the target. For this reason, in addition to the link field (where only the target address is visible), we have added a plug-in that allows you to place links with an editable label on forms.

When creating or modifying a process definition you should specify from 1 to 3 variables (“Highlighted fields” option) that are worth showing on the tab of a given process instance.

When we send a task to ourselves, we no longer have to go to it from the dashboard. The form will be displayed automatically.

With the increase in the number of functionalities available to administrators from the instance level, it was advisable to concentrate them under one button. This makes the navigation bar more transparent and clearly separates user-available and administrative functions.

The advanced search engine allowed searching for process instances using many parameters. However, there was a need to searching also by user.

Can all users delete tasks (process instances)? No. Only administrators (Admin role) and the owner (Owner) of a given Organization can delete any tasks (process instances).

When we complete our assigned tasks sometimes does not depend on us alone, e.g. we are waiting for some external data or suitable weather, or the issue is postponed by external institutions, etc. If when creating or editing a process definition we take these or other cases into account, we can use the “Retry” functionality.

If there is a reason to inform other people in the organization about the non-completion of a task, use the “Escalate to” option. Timecops (that’s what we call them) can only be people belonging to the organization, both with “inside” and “outside” status.

Nowadays, it is hard to imagine that you can do without mobile devices, especially a phone.In the older workflow systems, mobile applications were not used. At first they were not there yet, and then it seemed that this area was reserved for desktop work. With Dew-X it’s different.

There is sometimes a need for a user who is not involved in the flow of a given case to have the opportunity to familiarize himself with it. That’s what the CC functionality is for. It can be either a person who will not participate in this instance of the process at all, or a person who will be added to it in later stage.

Global tables are a special type of tables. They allow you to create templates of many different tables, which can then be used repeatedly both in a given process and in various other processes. A great advantage of this type of tables is their “wandering” nature – adding the same table on the next steps of a given process allows different participants of the process to fill in the same table. Furthermore, a given table can also be added at a specific activity in a non-editable form to present the data collected in the course of the process.

If you are already a user of the application, you can change the language at any time in the menu on the left, under the initials or the avatar, using the “Account settings” option.

List of cars, employees, customers, We agree that it is worth being able to include such lists on forms in the document and case workflow processes. Of course, and earlier it was possible using the “Selection list” plugin, which allows you to add a field containing a defined list, from which the user, when filling in the form, selects a value. In many cases, this functionality was sufficient.

Many people ask us if Dew-X can be integrated with other systems. The answer is: YES. Simple integrations can be done with Authorization tokens and Webhooks. The more complex ones, e.g. with financial and accounting systems, mobile applications or CRMs, are possible with the use of API.

Authorization tokens – you can perform actions in Dew-X from external systems and Webhooks that allow you to invoke actions initiated by Dew-X on external systems.

Organizations can now be Public or Private. Private ones cannot be searched, so to join them you must receive an invitation from their member. The decision whether an organization will be public or private is made at the stage of its creation or subsequent edition.

The functionality that allows you to indicate, when creating or editing a process, who is to be the default user of a selected activity.

The possibility of reporting is an important functionality of workflow systems – first of all, it allows you to analyze the data that is collected during the flow. In systems that must be universal and in which users create processes themselves and modify them many times, coming up with reporting mechanisms is a real challenge.

File archive, also known as Document Management System (DMS) or Electronic Document Management (EDM), is most often used to manage contracts, e.g. with customers, suppliers or employees, invoices, protocols, HR documents, call recordings, technical documentation etc.

Permissions are very important issue. Security considerations are obvious, but being aware of permissions also opens up organizational possibilities. Let’s start by describing the roles that appear in Dew-X.

Many processes are not accompanied by documents. Such processes weigh little. 100 MB can therefore be enough for years.
