National e-Invoice System (KSeF) – a revolution in invoicing in Poland

The National e-Invoice System (KSeF) is a central platform of the Ministry of Finance, mandatory for issuing and receiving structured invoices in Poland. The system is designed to streamline VAT settlements by automating processes and minimizing errors, but many entrepreneurs are still unfamiliar with its basics.

Low awareness among companies

Many entrepreneurs, especially those in micro and small businesses, know almost nothing about KSeF, which raises legitimate concerns. Surveys conducted in November 2025 show that only 12% of large and medium-sized entities feel fully prepared, while 21% indicate a lack of knowledge about the details of the system. Members of Parliament are addressing inquiries to the Ministry of Finance, emphasizing insufficient training materials and short adaptation time.

FA(3) structure status

The target version of the logical structure of e-Invoice FA(3) was published in June 2025 after consultations and is considered final, with minor technical corrections.

As of December 2025, it is still not available in a production version!

Mandatory KSeF deadlines

The obligation to use KSeF will be introduced in stages: from February 1, 2026, for companies with a turnover exceeding PLN 200 million in 2024 (including VAT), from April 1, 2026 for other entrepreneurs, and from January 1, 2027 for the smallest ones (sales up to PLN 10,000 per month until the end of 2026).
