The e-Doręczenia module in the Dew-X system allows you to receive electronic documents directly from your e-Doręczenia mailbox, without having to log in to the gov.pl platform. It allows you to quickly and conveniently route correspondence to the appropriate people and processes. To run it, go to the main menu, select Modules and then e-Doręczenia. To add a new inbox, click the “Add inbox” button After clicking the button, a window for adding a new inbox will appear. Complete the following fields:
Name – enter a name for the inlbox. This name will be visible in the menu for users authorized to view it
Inbox Icon – select an icon to help identify the inbox
e-Doręczenia Address – the inbox’s unique identifier in the e-Doręczenia system, in the format: AE:PL-XXXXX-XXXXX-XXXXX-XXX
System Name – the name of the system registered on the e-Doręczenia platform (Permissions → Systems tab).
Default Process – select the process that will initiate correspondence processing. This field is optional. You can also select or change the process later, directly when assigning correspondence to specific individuals
Certificate Private Key – a .key file generated when creating a certificate request for a Qualified Website Certificate (QWAC)
Password – create a password that you will provide to all authorized users. Users will be prompted to enter it each time they attempt to access the inbox
After entering the above information in the add inlbox window, grant access to the appropriate users or user groups.
Remember to provide them with the password you created – without it, they won’t be able to access the inbox. Note: To authorize e-Doręczenia, your organization will need a qualified website certificate (QWAC). Write to us and we will tell you how to get the right one and help you use it when configuring it in Dew-X / e-Doręczenia. Once you’ve created and connected your inbox, all your messages are immediately available in your Dew-X inbox. Unread messages are in the “Unread” tab, while received messages are in the “Read” tab. You can preview each message by clicking the eye icon, where you will see all the details about the given correspondence, or immediately start the process by clicking the arrow icon. Note: Each of these actions automatically marks the message as read! Message details are retrieved directly from the e-Doręczenia system. This process may take a few seconds, during which time an information window will appear on the screen. Once the data has been loaded, a window will appear containing all the details of the message. From this window you can launch any process available in your organization and redirect correspondence to the appropriate user. The launched process contains all e-Doręczenia data. Even if the selected process does not provide a document preview, for ease of use, it will be presented in a two-column format – one column will contain details about the correspondence. All document links to process instances are saved in the document details, making it easy to see which processes were triggered based on a given correspondence.
